Planning and the calendar

Planning combines manual production tasks with milestones already owned by ideas, episodes, and uploads. Schedule the day you intend to work; keep the deadline as the last acceptable finish.

Schedule and deadline are different

Deadline The day by which the task must be complete. Today, overdue summaries, attention, and Tasks—not as a second calendar event.

Manual task dates are day-based. Exact times belong to release and upload events where clock time is operational. If you need to start on Tuesday and finish by Friday, set Tuesday as Scheduled and Friday as the Deadline.

Create a useful task

  1. Name the outcome. “Record clean overhead shot” is clearer than “Camera.”
  2. Choose a category and workflow status. Categories cover Idea, Research, Script, Recording, Editing, Thumbnail, Release, Promotion, Admin, and Other. Status tracks To do, In progress, Blocked, or Completed.
  3. Assign priority and dates. Priority supplies the baseline attention level. A close or overdue deadline can escalate it.
  4. Link context. Connect early work to a strategy idea, or execution work to a series and episode. The link powers Today and focused navigation.
  5. Add only notes that help the next action. Put research detail in the idea or episode when it belongs there.

Understand generated milestones

Not every row in Planning is a standalone task. The app derives authoritative milestones from the records that own them:

Idea targetA dated strategy idea before an episode exists.
RecordingThe recording date saved on the episode.
ReleaseThe episode’s planned publish date.
UploadA dated item already present in the upload queue.

Select a generated item to edit its source without leaving Planning. Every row in Tasks has the same completion control, including idea targets, recordings, releases, and uploads. A completed item stays visible in Month and Week with a checkmark and struck-through title, and you can reopen it from either view. Production progress can still complete a generated milestone automatically; a completion choice made in Planning is kept separately and never advances or rewinds the linked episode. Open the full episode only when you need the complete production workspace.

Do not duplicate milestones as tasks

If an episode already has a recording or planned release date, adding a second “Recording day” or “Publish” task creates two competing truths. Add tasks for the work around the milestone.

Read attention, not task type

Calendar colours answer “how urgently does this need attention?” rather than “what kind of thing is it?” Manual priority sets the baseline; an approaching or missed deadline raises it.

Plan a practical week

  • Begin in Month to see collisions and release density.
  • Move to Week to assign realistic days around recording and release milestones.
  • Use Tasks to catch unscheduled work and deadlines that do not belong on the calendar.
  • Search by idea, campaign, task, series, or episode when the active channel is busy.
  • Finish in Today, where the app ranks the work against the current day.
